Terms for builders

About these terms

These terms are between you, the builder, and Letterbox Leads, which runs Letterbox Leads.

Letterbox Leads is for businesses. By making an account or placing an order, you agree to these terms for your business.

What we do

  • We show you new planning applications in the London boroughs you pick. They come from the councils' public planning registers and the Greater London Authority's Planning London Datahub.
  • You pick the ones to write to. We print a letter from you, with your leaflet on the back if you add one, and our printer, Stannp, posts it second class.
  • We post the letters 2 working days after you order. They usually arrive 2 to 3 working days after that.

Council data can be late, wrong or incomplete, and some boroughs reach us weeks late. We do not promise that every application is shown, or that every detail is right.

Price and paying

  • Each letter costs £2.
  • The smallest order is 5 letters (£10).
  • A copy of your letter posted to you costs the same as any other letter.
  • You pay by card when you order, before anything is printed. Stripe takes the payment.
  • You pay the price shown at checkout. If we change our prices, the new price applies to new orders only, and you see it before you pay.

Letters we will not send

We do not write to an address when:

  • you have written to it in the last 12 months, about any application
  • the homeowner has asked us to stop letters
  • the work is already built.

If one of these applies to a job you paid for, we leave it out and refund it to your card straight away. If we cannot post a letter for any other reason, we keep trying for a day, then refund it. Two applications at one house in one order get one letter.

Cancelling and refunds

  • You can cancel an order free until 5pm on the working day before we post it. Your orders screen shows the exact time.
  • Nothing in an order goes to print before that time, so cancelling stops every letter in it and you get back everything you paid.
  • After that time, the letters go to print and cannot be stopped, so we cannot refund them.
  • Refunds go back to the card you paid with, and usually show within 5 to 10 working days.

Your letter and your leaflet

You are the sender of each letter. You must make sure that:

  • everything on your leaflet, your logo and your letter is true and not misleading
  • if you pick the Professional letter, you are insured, give a written guarantee and have references, as it says
  • you have the right to use everything on your leaflet and logo
  • your marketing follows the law, including consumer protection law (the Digital Markets, Competition and Consumers Act 2024, which replaced the Consumer Protection from Unfair Trading Regulations 2008) and the CAP Code for advertising.

We may refuse a leaflet or a letter, or stop an order, if we think it breaks these terms. We refund any letter we stop.

Using the addresses fairly

  • Use the addresses only to send letters through Letterbox Leads, and to reply to homeowners who contact you.
  • Do not use them to call round, phone, send a letter of your own, or contact anyone in any other way. You may keep the list you download for your records, but do not share or sell it.
  • Never harass anyone. If a homeowner tells you to stop, do not contact them again, and tell us so we can stop letters from every builder.
  • Look after the addresses, and any replies you get, as data protection law requires.

If you break these rules, we may close your account. We refund any letters not yet printed.

No promise of work

Most letters get no reply. We do not promise any calls, quotes or jobs.

Our responsibility to you

  • We provide the service with reasonable care and skill.
  • If we get something wrong, such as a letter that is not posted, we will post it again or refund it.
  • We are not responsible for lost profits, lost work or lost business, or for losses we could not have foreseen.
  • Our total responsibility to you for everything in any 12 months is limited to what you paid us in those 12 months.
  • If someone makes a claim against us because of something on your leaflet or in your letter, you will cover our reasonable costs of dealing with it.
  • Nothing in these terms limits our responsibility for death or personal injury caused by our negligence, for fraud, or for anything else the law does not let us limit.

Your account

  • Keep your sign-in to yourself. You are responsible for orders placed on your account.
  • You can close your account on your account page once your orders have been posted or cancelled. Our privacy notice says what we keep and for how long.
  • We may change or stop the service. If we stop it, we send or refund every letter already paid for.

Changes to these terms

We may change these terms. We update the date at the top, and tell you before the change applies to your next order. An order keeps the terms it was placed under.

The law

These terms are governed by the law of England and Wales. Any dispute goes to the courts of England and Wales.
